The problem, in numbers

You're doing 13 weeks a year
of work nobody pays you for

Australian tradies lose 8 to 12 hours a week to admin. Quoting, invoicing, chasing money, answering messages. At $90 an hour, here's what that's worth.

$43,200
Unbilled time per year at 10 hours a week of admin. That is about 13 full working weeks.
42 hrs
Average time a business takes to respond to an enquiry. 23% never respond at all.
44%
Of Australian small business invoices are paid late. Every one is a follow up you have to write.

Sources: Xero Small Business Insights and ABS for admin hours. Harvard Business Review study of 1.25 million leads and audit of 2,241 businesses for response time. Xero 2024 for late payment. The full source list is printed in the back of the guide.

What's inside

Five systems. Fifteen minutes each.

Each one is a complete build: the problem, what it looks like working, the step by step setup, the exact prompt to copy, and how to automate it once you trust it.

System 01

The 60 Second Quote Reply

An enquiry lands while you're on a roof. Seven minutes later a proper reply is sent, in your voice, asking the right questions, without you leaving the job.

1 to 2 hrs a week plus the jobs you're losing
System 02

The Invoice Chaser

Four escalating follow ups written once, while you're calm. Day 1, 7, 14 and 30. You never have to decide how annoyed to sound again.

1 to 2 hrs a week
System 03

The Content Engine

One job photo becomes a week of posts. Twenty minutes on a Friday and your business stops looking dead online.

2 to 3 hrs a week
System 04

The Review Reply System

Every review answered properly in ten minutes a week, including the bad one, written by something that isn't furious.

30 mins a week
System 05

The Friday Brain Dump

Talk at your phone for two minutes before you drive off. Get back a sorted list of what's urgent, what's money, and what you've forgotten.

1 to 2 hrs a week

Plus the two chapters nobody else writes

  • "Is it safe to put my customer's details in this thing?" A green, amber and red rule for exactly what you can and can't paste in. 39% of Australian small businesses name privacy as their number one barrier to using AI. Almost nobody selling AI guides will answer it.
  • "Why yours sounds like a robot" The Voice File. Ten minutes to build, and it's the difference between output you'd send and output you delete.
Before you buy

Who this isn't for

We'd rather you didn't buy it than bought it and felt ripped off. Read the left column first.

Don't buy this if

  • You have a full time office manager who already handles quoting, invoicing and marketing.
  • You want a magic button. Every system takes 15 to 30 minutes to set up and you have to actually do it.
  • You want AI to run your business. It drafts, you approve. That's the whole relationship.
  • You're after 500 generic prompts in a folder. This is five systems, built properly.

Buy it if

  • You're the one who quotes it, does it, invoices it and chases the money for it.
  • You've tried AI once, hated what came out, and quit. Chapter 2 is the reason that happened.
  • You're doing admin at the kitchen table at 8pm and you'd like that hour back.
  • You'd rather have five things you'll actually use than fifty you won't.

Who wrote it

Unsocial Studiio

We run social media and marketing for trades and local service businesses out of Wollongong. The actual kind, with utes and early starts, not the kind in stock photos.

These five systems aren't theory. They're the ones we build and run for clients, written down so you can build them yourself in an afternoon.

We left out the stats we couldn't verify, told you plainly what AI can't do, and put a chapter in about data safety that costs us nothing to include and would cost you plenty to get wrong. That's the standard.

Straight answers

Questions people actually ask

Do I need to pay for ChatGPT or anything else?

No. Every system in here works on the free tier of ChatGPT, Claude or Gemini. There's nothing to install and no subscription to buy. If you already pay for one it'll work a bit better, but that's it.

I'm not technical. Is this going to be over my head?

If you can copy and paste, you can do all five. There's no code, no software setup and no jargon. Each system has a "level it up" section at the end for automating it later. That part is optional and clearly marked.

I tried AI before and it sounded nothing like me.

That's the most common reason people quit, and it's exactly what Chapter 2 fixes. You build a Voice File once, ten minutes including three real messages you've already sent, and paste it at the top of every chat. It's the difference between output you'd send and output you delete.

Is it safe to put customer information into AI?

Some of it, and there's a whole chapter on exactly which. You get a green, amber and red rule covering what's fine, what needs stripping first, and what should never go near it, plus the two settings worth changing in your account. It's the question most AI guides skip.

Is this just a pile of prompts?

No. There are prompts, full ones, written out and ready to copy, but each sits inside a system with the setup, what good output looks like, the specific trap to avoid, and how to automate it once you trust it. A prompt with no system around it is what you get for five dollars, and it's why those don't work.

I'm not a pressure washer. Does it still apply?

Yes. The examples lean on pressure washing because that's the business it was built on, but the systems are the same for electrical, plumbing, landscaping, cleaning, painting, concreting or pest control. Anything where you quote a job, do it, invoice it and chase it.

What if it's not useful?

Reply to your receipt within 30 days and we'll refund you. Keep the guide either way. Chasing a $19 refund isn't a good use of anyone's afternoon.
